Job Description

  • Set-up new vendors and update existing vendors in the company database.
  • Collect vendor addresses, W9, Certificates of Insurance and payment information.
  • Track the company's ability to do work on federal projects through the use of SAM.gov.
  • Manage incoming ACH requests and review for completeness, accuracy and legitimacy.
  • Manage incoming pre-qualification forms and vet potential /vendors before adding them into North Wind's vendor database.
  • Provide administrative support to the purchasing department by preparing, controlling, or closing out procurement documents or records; updating and maintaining the currency of procurement documents or related information; sorting, compiling, and actioning requisitions, orders, modifications, etc.; tracking the status of requisitions, and orders using system files and through communication with vendors; maintaining bidder lists ; reviewing reports and researching errors or conflicting information in procurement documentation; assembling and preparing procurement management reports; investigating customer or vendor complaints of errors in shipment, payment, and/or contract documentation; and reviewing purchase order or contract files for inclusion of specific documents or clauses as defined in procedures.
  • Assist with misc. communications and letters.

Qualifications

  • General business experience.
  • Demonstrated administrative and organizational skills.
  • Demonstrated oral and written communication skills.
  • Basic purchasing experience, knowledge of simple arithmetic.
  • Proven ability to work effectively in team setting.
  • Ability to multi-task and meet deadlines.
  • Customer service skills.

Desirable Skills

  • Procurement Experience with government purchasing procedures.
