Job Summary: The Support Coordinator is responsible for providing administrative support to the Executive Director and the PLUS Foundation (FDN). This individual serves as a contact forprocessing and tracking foundation donations and offerings while also providing general donor support. This person also supports PLUS Foundation regional and national events by processing registrations and managing attendance lists, assisting with the preparation of materials and shipments, sharing information about events, responding to member questions about events. This is a part-time, 20 hours/week, non-exempt position.

LOCATION: St. Louis Park, MN; this position is hybrid with commuting to the office 1 - 2 times per quarter.

ESSENTIAL DUTIES AND RESPONSIBILITES

Events and Program Support (40%)

  • Provides database support for FDN events and programs.
  • Processes registrations and cancellations, enters and edits member records so database/event lists are accurate. Send FDN event confirmations to registrants.
  • Processes onsite event registrations. Performs other administrative tasks as required, including invoicing, receipts, payment processing for events.
  • Provides event support for FDN events. Assist with preparing and shipping materials needed for regional live events, international conference and symposia, as necessary.
  • Provides communications and manages lists for group registrations. Distributes and processes FDN event/program evaluations.
  • Helps monitor and share information about events on social media.
  • Creates and tracks attendee lists of FDN guests attending the International conference and symposia. Assists with logistics and sends internal and external updates, as requested. Responds to email/telephone inquiries.

Administrative/Executive Support (35%)

  • Provides administrative support to the Executive Director. Assists in planning board and committee meeting logistics.
  • Provides administrative support to PLUS Foundation. Responsible for processing financial transactions, including registrations and donations.
  • Works with Operations in processing and depositing incoming payments and checks, and helps accounting in managing ClearVantage inquiries.
  • Updates FDN account signers annually.
  • Provides member services support to membership via email and telephone communication.

Donor, Grantee, and Member Services Support (25%)

  • Processes new incoming FDN donations, updates database, tracks donations, prepares invoices and receipts, follows up with donors. Tracks and communicates benefits to FDN corporate donors. Sends internal and external updates, as requested. Responds to donor email/telephone inquiries.
  • Provides support for FDN grant recipients. Updates grantee information. Responds to recipient email/telephone inquiries.

QUALIFICATIONS:

Required Education:

  • 1+ years’ experience in office administration or performing Executive Assistant duties.
  • Proficient in Microsoft Office 365 including Teams, and familiar with social media platforms

Physical Demands

  • Stationary for long periods of time at a desk and working on a computer, and other office productivity machinery, such as a calculator, copy machine, and printer
  • Repetitive movements of fingers, hands, and wrists
  • The ability to observe details at close range (within a few feet of the observer).
  • The employee is occasionally (10-25%) required to stand, walk, and infrequently (less than 10%) stoop, kneel, reach with hands and arms, lift, and grasp
  • Express or exchange ideas by means of written and spoken word
  • Ability to hear, understand, and distinguish speech or other sounds
  • Occasionally required to lift, carry, push, pull or otherwise move objects (up to 15 pounds)
