For a limited time, Partners In Development Foundation will be offering a recruitment bonus of up to $1000*. Employee must be hired prior to 12/31/2022. (*Must meet eligibility requirements.)

Primary Purpose

Assist Project Coordinator, Project Director and program staff in coordination and tracking of operational matters to achieve the goals and objectives of the program.

Essential Duties

  • Provide administrative support and assistance to program staff;
  • Prepare expenditure vouchers;
  • Assist in the intake process of participants and scheduling of program assessments;
  • Perform data entry and maintain database;
  • Assist with coordination of excursions;
  • Assist with vehicle maintenance needs;
  • Maintain enrollment and waitlist, keep accurate record of participants;
  • Maintain project and vendor files;
  • Serve as point of contact to operate office machines, such as copiers, scanners, facsimile machines, voice mail systems and computers;
  • Order and restock program supply closet.

Other Duties

  • Other duties as assigned include providing support to Project Coordinator/Project Director as needed.

Work Hours

  • 40 hours per week between the hours of 7:00 a.m. to 3:30 p.m., Monday through Friday;
  • Position requires regular and predictable attendance;
  • Some events on nights or weekends at various times depending on the event.

Working Conditions

Program office and program sites; various event sites, meeting and professional development sites.

Equipment Use

Program vehicle, computer, laptop, laminator, copier, shredder, fax machine, equipment, generator, speaker system, refrigerator, microwave, paper cutter, van.

Mental, Physical and Communication Demands

Mental:

  • Consistent adherence to the practice of PIDF’s five core values that are used as a guiding force in the success of all of its programs;
  • Must possess strong organizational skills and ability to focus on multiple tasks;
  • Be keenly aware of and attentive to program participants;
  • Ability to cope with stress that may be induced by the situations of our clients.

Physical:

  • Able to lift and carry up to 40 pounds on an occasional basis;
  • Must be able to sit and work on floor; kneel and bend;
  • Able to climb stairs.

Communication:

  • Must exhibit courteous and professional demeanor towards program participants, staff and administration via verbal, written, physical, and electronic correspondence;
  • Requires good oral and written communication skills;
  • Must be able to maintain confidentiality.

Minimum Qualification Requirements

Required:

  • High school diploma or GED;
  • At least one (1) year experience of working in an office and have office skills, such as typing, word processing, data entry, and good phone skills;
  • Proficient in MS Office (Word, Excel,and Publisher), Google workspace;
  • Proficient in operating office equipment such as copier, scanner, fax machine, postage machine, telephone system, etc. ;
  • Must have a valid driver's license, a safe and responsible driving record.

Preferred:

  • Two (2) year degree with focus on office skills;
  • Working knowledge of Quick Base and/or other data based programs;
  • Understanding of Hawaiian culture and values;
  • Have access to a vehicle with at least $100K in bodily collison per personal and $25K in property damage liability.
