JOB DESCRIPTION
Class Title: Parks & Recreation Project Coordinator
Grade Number: 10N
Department: Parks & Recreation
Union: Non-Bargaining
GENERAL PURPOSE
Performs a variety of specialized, professional level work duties under the general direction of the Deputy Director and/or Director. The role of the Project Coordinator is to assist in the management of design and construction contracts within the Capital Improvement Program and internal Parks Maintenance projects. The Coordinator shall create expenditure reports for capital projects and assist the Directors to develop budgets, process budget transfers, annual budget preparation, and purchase orders.
SUPERVISION RECEIVED
Works under the supervision of the Deputy Director – Parks and Director of Parks & Recreation.
SUPERVISION EXERCISED
May exercise supervision over Parks and Recreation clerical staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Advise and assist the Deputy Director and Director to establish funding priorities.
Assist in preparing, coordinating, monitoring, and analyzing capital projects and maintenance budgets.
Attend department meetings regarding status of construction project activities.
Check the availability of construction project funding and assist to ensure that completed projects are on budget.
Maintain construction records and prepare reports submitted to State, Federal and philanthropic organizations.
Create journal entries and budget transfers.
Receive, verify accuracy of, and process invoices for payment for construction projects.
Create and produce computerized spreadsheet reports on construction and maintenance projects.
Create and update spreadsheet reports on capital projects construction, maintenance project information and status.
Establish and maintain specialized filing systems for legal and technical documents.
Gather information and plans for project related meetings.
Monitor purchase orders, contracts, expenditures, and related functions.
Prepare a variety of status reports on capital projects and major maintenance activities.
Assist in preparing and reviewing cost estimates of construction and maintenance projects for budget.
Assist in preparing, disseminating, and reviewing documents for construction projects or major maintenance projects for bids and cost estimates.
Provide regular status reports of all construction and major maintenance projects to the Deputy Director, Director, or others as appropriate.
Maintain project design and construction schedules, produce required documents for permit process, as needed.
Process addenda and change order requests.
Apply for and procure necessary permits, if needed.
Research, prepare, present, and assist in the administration of grants for renovations, new facility developments, and capital projects.
Oversee clerical staff in daily parks maintenance operations.
Assist in the daily operations of parks maintenance.
Provide quality and effective customer service with courtesy and understanding to colleagues, employees, contractors, and the public.
Perform related work as may be required.
MINIMUM QUALIFICATIONS
Education and Experience:
Two years’ experience assisting or coordinating capital construction and major maintenance projects.
High School diploma or equivalent.
Equivalent combination of related education and experience.
Necessary Knowledge, Skills and Abilities:
Knowledge of contract management
Knowledge of operation and use of current computer software (Microsoft Office Suite)
Knowledge of Tyler Eden system
Ability to organize and provide good project management skills.
Ability to develop and evaluate alternatives to possible courses of action.
Establish and maintain cooperative relationships with others.
Compose documents that are grammatically correct.
Communicate effectively, orally, and in writing.
Provide accurate and complete information as requested.
