Primarily, our B2B and B2C sales are hosted on our wholesale and retail eComm stores. We also sell in person at several conferences/trade shows/events, as well as periodic visits to reseller studios.
Job Summary:
We are looking for a Production and Inventory Manager to bridge the gap between the production process, data and systems, and other various departments, in order to support the needs of our clients. This role is a combination of managing/coordinating the sample and production process, along with physical inventory control, and integrating systems/technology to the related processes to ensure digital data matches the physical picture and inventory planning is effectively communicated to all stakeholders. The successful Production and Inventory Manager will collaborate with the Fulfillment Team in our shared goal of providing the best possible customer service - accurate, timely, and going above & beyond to meet special requests when possible. This role will thoroughly learn our growing catalog of products and be trained to become an expert in quality control in order to build comprehensive standards for the Design and Production Teams. In addition, this role will also be rooted in data mining and reporting in order to maintain awareness of which styles are selling best across our wholesale and retail channels in order to optimize asset allocation between the two stores, as well as support Sales & Marketing and high sell-through efforts. Responsibilities and Duties:
- Work closely with our Design, Production, and Fulfillment Teams to learn all the details of our products, including functionalities, stones, measurements, and more
- Become fluent in Quality Control standards and expectations and employ these checks consistently at all times - managing PO’s, managing/organizing physical inventory, fulfilling customer orders, etc.
- Collaborate with Design, Production, and Sales Team stakeholders to achieve optimal planning/Production Calendar
- Coordinate communications with goldsmiths and ensure delivered products meet expectations/ standards
- Prepare reports for optimal planning and collaborate with Co-Owners to place PO’s
- Track PO’s from placement, ensure “what’s on order” is up to date and visible to all departments, and physically plan for landing each PO so that inventory moves smoothly and quickly through the check-in process
- Monitor item costs and changes, and provide reports to support recommendations for pricing
- Contact vendors, place orders, verify supplies, manage supply requisition, and communicate with suppliers to determine expected delivery dates and inform managers of potential delays
- Audit individual item bag labels to be sure all details are correct and have consistent information available for internal and customer purposes. Facilitate any immediate corrections needed and any corrections to be made in the items’ permanent label records
- Achieve maximum inventory control, maintain awareness of which styles are selling best. Use the Inventory Management System to leverage the company’s combined inventory (between wholesale and retail stores) to achieve optimum stock levels and sell-through
- Lead and collaborate with Inventory Assistant to conduct regular cycle counts
- Transform sample item details into the production catalog within our Inventory Management Systems (NetSuite & Shopify) utilizing our standard naming conventions, tagging and product description templates
- Coordinate with the Marketing Team to ensure all incoming products have desired professional product shots
- Work with our sister company’s Inventory Specialist/Buyer to coordinate priority access to all new jewelry collections for the brick + mortar stores, coinciding with priority fulfillment
- Maintain systems and practices to provide accurate inventory stock level data for all parties/departments
- Calculate ideal reorder points and levels based on turnover rates and seasonality
- Conduct regular margin audits and provide effective reporting to support recommendations for price changes
Qualifications and Skills:

- 5+ years’ experience in inventory, production, distribution and operational procedures
- Tech-savvy, proven competence with Inventory Management Systems – experience with Shopify and NetSuite a major plus!
- High level of proficiency with Excel and other information systems
- Experience with and love of jewelry and body adornment is also a major plus!
- Fluency in Mandarin is also a major plus!
- Ability to analyze Inventory processes from both a micro and macro perspective
- Highly organized, methodical and meticulous
- Effectively able to multi-task and delegate
- Can work well autonomously as well as within a team

Pay: $69,000.00 - $74,000.00 per year
