Operations Assistant

The Operations Assistant is responsible for the seamless processing of the client’s plan. This includes completing insurance and investment paperwork, underwriting, ongoing client service and CRM/File maintenance. The ideal fit will be a quick learner, take independent initiative, be eager for ongoing education and have a growth mindset.


Executive Support:

  • Calendar Management with confirming appointments
  • Assist with logistics including invitation, RSVPs, catering, required technology, etc.
  • Assist with special projects and other duties as assigned

General Office Support

  • Answer incoming calls to the practice
  • Run weekly and monthly sales reports
  • Order office supplies, computers, and miscellaneous departmental supplies
  • CRM database input and reporting
  • Case Prep
  • Other duties as assigned


Supporting the Insurance underwriting process including:

  • Accurate completion of all applications (including confirming illustrations)
  • Scheduling of medical exams
  • Tracking and communication to get e-signatures back within 3 days
  • Monitor applications in underwriting and client correspondence
  • Track delivery requirements

Supporting the Investment account workflow including:

  • Accurate completion of all paperwork (including confirming proposals)
  • New Account tracking and client communication
  • Opening new accounts

Qualifications:

  • Bachelor’s degree
  • Commitment to maintain a high degree of confidentiality
  • Work effectively with people at all levels
  • Present a helpful, get-it-done attitude
  • Strong written and oral communication skills
  • High attention to detail and organizational skills
  • Ability to multi-task and work in a fast-paced environment
  • Experience in insurance and investments preferred
  • Life, Accident and Health License required within 6 months of hire
  • Investment licenses 6&63 or equivalent preferred

  • Annual Salary $45,000-$50,000+ with bonus.
