POSITION DESCRIPTION

Executive Assistant to the President

LOCATION: Boston REPORTS TO: President & CEO

SUMMARY:

The Executive Administrator to the President is responsible for providing administrative support to the President, overseeing the activities of the Executive Office and managing special projects. Represents the President and the Executive Office, as appropriate.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Provides administrative support to the President:

o Oversees President’s schedule, internal and external, and arranges for an appropriate delegate at meetings/appearance in the absence of the President.

o Assures that all materials for meetings are available including obtaining information internally and researching information from public and other sources.

o Screens all telephone calls and, as appropriate, handles or refers. Assures availability of telephone coverage during business hours.

o Opens and reviews mail and other correspondence and, as appropriate, handles or refers. Follows up as necessary.

o Prepares correspondence and documents for the President’s review and/or signature.

o Reviews and proofreads documents presented for the President’s signature and assures that all necessary approvals are in place.

o Makes travel arrangement as necessary.

· Manages the day-to-day operation of the Executive Office in accordance with established Goodwill policies and procedures:

o Manages Executive Office budget in accordance with Goodwill’s approved budget.

o Organizes and maintains Executive Office files.

o Orders materials and supplies and prepares expense reports timely.

· Coordinates all Board, Board Committee and related meetings and activities.

o Serves as the day-to-day liaison with Board members and works with their administrative staff as appropriate.

o Schedules Board and Committee meetings

o Organizes the preparation of all materials necessary for meetings assuring that they are available for the President’s review in a timely manner. This includes but is not limited to agendas, minutes, and support materials. Coordinates with Executive Team members who are responsible for certain documents.

o Handles communication of meetings and associated reminders, distribution of materials, and attendance tracking.

· Coordinates management meetings for the Executive Team and Leadership Forum. Participates in the planning of select organization-wide meetings.

o Coordinates schedule and agenda distribution.

o Responsible for follow-up on outstanding issues/projects

o Attends the Executive Team and Leadership Forum meetings.

· Performs other duties as assigned.

QUALIFICATION REQUIREMENTS:

· Bachelor's Degree (or Associate’s Degree and additional specialized training) required.

· Seven to ten years professional business experience. Experience working with senior level management required; Prior experience working with a Board of Directors a strong plus.

· Superior written and oral communication skills. Ability to write, edit and proofread business correspondence and documents.

· Demonstrate strong project management skills and the ability to handle multiple projects simultaneously.

· Ability to work with a variety of populations with confidence, diplomacy and tact.

· Ability to exercise sound judgment regarding issues that need to be escalated to the CEO.

  • Must learn and reflect the executive's style and handle assignments that involve highly sensitive or confidential matters. Must demonstrate the ability to interact effectively with high level contacts inside and outside the organization.

· Possess a full array of computer, administrative, and organizational skills.

· Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.

· Requires acceptable results of CORI check according to Goodwill policy and requirements.
